I work for a small company (between 20-30 employees) near Milwaukee, Wisconsin. The boss had me put together a cruise on Lake Michigan and the particular cruise he wanted charges $50.00 per person. He said he will pay for the employee and one guest. First he wanted to see who was interested. Did the whole memo thing and people got back to me right away. Once we saw we had enough people interested we let everyone know that we are definately booking it. We listed all those that had signed up and informed them that we needed to know if there were any corrections by the next day (I gave them an actual time). We booked it, everyone is excited.
The problem: Now we are getting people canceling on us or changing from 2 people attending to 1 person. My question to the board is how do other company's of this size handle company sponsored get-togethers when tickets (or something else) must be purchased ahead of time?

I'd suggest talking to the company who is running the cruise and see if you can get the tickets that aren't used refunded. Other than that this is something that usually happens. All you can do it take the headcount and hope for the best. Mostly I've seen that companies just had to cut their losses.
Maybe, in the future, you could put a cancellation date on these things for the employees. Say if they cancel after whatever date you give the final headcount then they have to reimburse the company for the ticket(s). Just a thought.
The cruise sounds like a great time...enjoy it!

I also work for a small company that has booked trips like this, and when employees cancelled out they just started inviting clients. That might be one way to salvage your trip and make your clients feel special!

In my husband's company the way they handle it is that the tickets are completely bought by the company. For a $50.00 ticket/person, they would charge $10-15.00/couple, and then give them "credit" for that amount to use at the bar or something. This way it's free, or close to, for each couple but requires them to pay something up front in order to hold a seat. When it's their money they tend to take it more seriously. And when you look at a couple only paying $10.00 or $15.00 for $100.00 worth of tickets, then they're getting a great bargain even if they don't get that money back.

Thanks everyone. We can get refunds up to a certain date before the trip. I had already looked into that. The boss and I are talking about bringing some clients along now. This should be a fun trip, provided I find time to relax and enjoy it.

Hey DWreath. I am assuming meal or some kind of food is included in your event......Another thing to consider. You have got all the confirmation from everyone, like what food they want, if they are taking the spouse or SO, or if Children will be coming. Day of the event, you are checking to make sure everything is going well as the Super Admin you (and all of us) are....there is still are no shows. Where are these people.? Did not call say something happened, could not make it at the last minute, etc. So now what do you do? So now you have to pay for all these "no show meals". No refunds involved. (They had to cook for 20, 30 whatever number.). Ask for "doggie bags" for those who do not show up and have a number of a local shelter, homeless thing, and call them to pick it up or have it delivered (most likely you will deliver). We had a clam bake about 3 years ago. Had all this lobster and shellfish left over because of the no shows. I am, yeah right, donate lobster to the homeless. One of my coworkers convinced me that they would take it. Turned out they made a fish stew, and envited me to help serve it. It was a very rewarding feeling. So, ever since, I have had a place to call and give the "doggie bags" to from the left overs! Just a thought!
