Beverly has actively pursued additional professional development and education opportunities including the following courses which she completed in 2007: 1. Holds Construction Industry Technician (CIT) Certification through the National Association of Women in Constructions Education Foundation. 5. Holds Microsoft Office Specialist (MOS) Word Certification.
Beverly is scheduled to take the following in order to continue to develop her skills and knowledge in order to enhance her current role and position: 1. Smart Data Online Webinars: a) Cardholder Training [learning and using available resources]; b) User Maintenance and Template Setup; c) Reports and Exports d) SDRAM (Smart Data Online Real-Time Manager) e) Hierarchy.
She is preparing to obtain her MOS in Excel and PowerPoint and studying in preparation for her CPS Certification Exam through IAAP. Beverly has been a member of the IAAP, Alamo City Anacacho Chapter since September of 2003. Beverly attended the March 2007 IAAP Professional Education Conference in La Jolla, CA and the October 2007 IAAP Certification Conference in San Antonio, TX. She has been a Member-at-Large of the League of Women Voters of Texas (LWV Texas) since January 2001.
In January 2004, she became a member of the League of Women Voters-Comal Area (LWVCA) in which she holds the Board position of Secretary for the 2007-2009. In July 1, 2003 she became a Member-at-Large of the National Association of Women in Construction (NAWIC) and in 2004 joined the San Antonio NAWIC Chapter. Beverly attended the State of Texas Procurement Card Administrator Conference held in Austin, TX in October 2007. In March 2007, she attended Skillpath's "The Administrative Assistants Conference" in Austin, TX.
Beverly will be attending the NAWIC Region 7 Forum held in Boerne, TX in April 2008. Beverly developed NBU's new procurement card program through the State of Texas (SOT) Procurement Card Program, which involved three phases. Phase I, was the development of NBU's procurement card procedures, implementation, setup of the new program in Smart Data Online to manage the program and provide an online expense reporting tool for the cardholders use. The setup of the new SOT procurement card program required Beverly to work closely with JPMorgan Chase's representatives, NBU's purchasing and accounting departments, in addition to NBU's executives and cardholders. Part of this process involved assisting executives and managers in identifying cardholders that no longer had a need for a procurement card.
Beverly worked to identify Merchant Category Codes (MCC) that would be considered high risk or inappropriate purchases and worked with JPMorgan Chase in blocking access to those codes. Included in phase I was the implementation and rollout of the NBU State of Texas Procurement Card program and Smart Data Online Expense Reporting and Management System. Beverly was responsible for the issuance of the cards, obtaining the appropriate signed cardholder agreements and management approvals. Beverly was required to identifying cardholders on the old Paymentnet program, establishing monthly card credit limits based on criteria given by the executives, and close out the old Paymentnet Procurement Cardholder accounts. Phase I also required Beverly to train management on creating and using the reports available through Smart Data Online. Phase II of the SOT procurement card program, is the implementation of the State of Texas Single Use Travel Advance Credit Cards.
Beverly developed the procedures on use of the new Travel Cards, a cardholder agreement and informational brochure. Beverly conducted the training on how to obtain a Travel Advance Credit Card, utilizing the Smart Data Online Expense Reporting tool and how to create a transaction line for expense allocations not placed on procurement or travel cards by using SDOL's non-card transaction tool in order to streamline the expense reimbursement procedures. Phase III of the State of Texas (SOT) procurement card program will be the implementation of the Accounts Payable Cards and Department Cards and use of the Smart Data Online system for expense reporting. The Accounts Payable Cards will be issued to NBU's Accounts Payable Clerk. Department Cards will be issued to divisions with special project needs, such as NBU's Communications Division for the SafeHaven Events. The use of the Smart Data Online system provides NBU the ability to centralize reporting and program administration, improve employee productivity by minimizing travel expense reporting and control non-travel related spending.
Beverly helped NBU's bottom-line by implementing a program that provides rebates for using the SOT procurement and travel card. Beverly also implemented the use of Microsoft SharePoint for team collaboration within NBU. This implementation was done in concert with the development of NBU's Critical Success Factor Teams. Beverly worked with Information Technology (IT) to set SharePoint up for use on NBU's network, assisted team leaders with setting up their team workspaces in SharePoint and trained team members on its use.
In addition to her role as Senior Administrative Assistant to the Director of Electric Services and her temporary support of the Senior Staff Attorney, volunteered for the role of the SOT Procurement Card Administrative and with this role reports to the Executive of Corporate Services. This additional responsibility is a testament to her effectiveness, professionalism and leadership skills. In addition, Beverly was instrumental in bringing in two Vocational Education (VOE) students to assist in the Executive Offices and is now responsible for the coordination of the VOE students work days and the liaison to the High School VOE instructors.
In the role of VOE coordinator, Beverly is responsible for working with NBU's Human Resource Division in hiring, performance management and appraisals, work distribution, absence management, employee motivation, and reward and recognition of the VOE students. In the role of Procurement Card Administrator, Beverly is responsible for implementation of the program, development of the procedures, issuing new cards, cardholder audits for concerns that may need to be addressed in the use of the cards, troubleshooting, cardholder and management training, generating monthly reports and account closures. SharePoint responsibilities are to setup team sites, training and troubleshooting.
Beverly was recognized for her volunteer hours to New Braunfels Utilities SafeHaven Program, where she volunteered 12 hours in 2007 towards SafeHaven events. Beverly was nominated by her New Braunfels Utilities Peers for the 2nd Quarter and 3rd Quarter PEERS award. PEERS stands for Performance, Effort, Efficiency, Recognition and Selection. NBU's Division Managers and Executive Director's review the nominations submitted and the individual's performance and decide on an employee who excels in his or her performance for the award.
Beverly's nominations was based on her taking the opportunity to teach a number of coworkers how to use SharePoint, which was a very useful tool during the process of developing Critical Success Factors. She updated the summer hire orientation presentation and added new graphics and photos to enhance the program. In addition, Beverly has utilized her expertise to assist fellow employees in Microsoft Office Products which has allowed the Technology Division to concentrate on other issues and recently provided helpful insight during the recent process of purchasing a new copier for the Main Office.
Outside of NBU, Beverly enjoys walks through Landa Park, ballroom dancing, travel, and spending time with her family. Beverly also enjoys being thoroughly spoiled by and long walks with Charlie and Lilly her two double dapple chocolate miniature long hair dachshunds. Beverly recognizes the needs and requirements of the leaders she supports and ensures that they have everything that they need in order to be effective and efficient in their roles. Beverly utilize her knowledge and skills to provide exceptional support to her Executives. The Executive Directors and Division Managers within the department often comment that Beverly is exceptional and express concern about the possibility of ever losing her. It is very clear that Beverly views this role as a career, and she continually seeks out learning and development opportunities not only for herself, but for the department manager's staff and the other Administrative Assistants within New Braunfels Utilities.
Beverly has been instrumental in improving NBU's procurement card program through implementing the new State of Texas Procurement and Travel Card Programs and the Smart Data Online Expense Reporting and Management Program. Beverly unselfishly shares her skills and knowledge with anyone within NBU. When asked to assist with a project or task she pitches in with enthusiasm. In addition to this nomination, Beverly has been nominated for the NAWIC Crystal Vision Award and the 2008 Administrative Excellence award.
